Overcoming Extreme Heat Waves on Your Wedding Day at The Barn at Walnut Grove

Your wedding day is a very important occasion, planned meticulously months or even years in advance. Then, after all that planning, Mother Nature throws a curveball in the form of an unexpected heatwave. We understand the importance of ensuring your special day remains perfect, even when temperatures soar. Here are some creative and practical ideas to help you and your guests stay cool and comfortable during a summer wedding.

Stay Cool and Comfortable

The most crucial aspect of combating a heatwave is staying hydrated and cool. We make sure there are plenty of water stations strategically placed throughout our venue. Cooling stations equipped with fans, misting devices, and cool towels that can provide a much-needed break from the heat.

If you haven’t purchased your wedding dress, by all means, opt for lightweight, breathable fabrics like chiffon, organza, or silk, and do the same when choosing your wedding parties’ dresses. Encourage your guests to dress comfortably, providing information on suitable attire in your invitations.

Special Considerations for Elderly Guests

We understand the importance of accommodating elderly guests at weddings, especially on hot days. To ensure their comfort, we provide an air-conditioned lounge where they can wait, comfortably, before the ceremony. We transport them to the ceremony site last and bring them back first using our golf carts, avoiding any lines for the bus. Additionally, the lounge remains open during cocktail hour, providing a cool and comfortable space for those sensitive to the heat to enjoy their time.

We have actually had elderly people at more than one wedding say thank you for caring. Your comfort and enjoyment are our priorities, and we strive to make sure every guest feels appreciated.

Timing and Shelter

Since part of your wedding will be outside, think about adjusting the schedule of your wedding to avoid the peak heat hours. Having your wedding ceremony a bit later in the afternoon certainly can be much cooler than midday while keeping everyone more comfortable. The Barn at Walnut Grove's beautiful grounds offer a variety of options for creating shaded areas that blend seamlessly with the natural surroundings.

Refreshing Treats and Heat-Wave Preparedness

Keep guests cool with a selection of refreshing treats like ice cream stations, popsicle carts, and chilled fruit platters. Cocktails and mocktails served with plenty of ice will not only quench thirsts but also add to the celebratory atmosphere. Prepare for any heat-related needs by having a first aid station stocked with essentials like sunscreen, aloe vera gel, and cold packs. Assign someone from your wedding party to monitor guests for signs of heat exhaustion and provide assistance as needed.

Comfort During the Reception

Before the reception begins, we lower the temperature in the barn to 67 degrees. This helps ensure that once everyone enters, the temperature stays comfortably around 71 degrees. This way, guests can enjoy the reception in comfort while still appreciating the rustic atmosphere, leaving the heat outside of the venue.

Communication and Embracing Summer

Inform your guests ahead of time about the weather forecast and provide tips for staying cool. Include suggestions for appropriate attire, reminders to stay hydrated, and details about the cooling stations and shaded areas. Clear communication can help your guests plan accordingly and enjoy the day to the fullest. While a heatwave might seem like a challenge, it also offers unique opportunities to embrace the beauty of summer. Incorporate vibrant summer flowers, light and airy decor, and a relaxed, carefree vibe into your wedding theme.

Planning a wedding during a heatwave can be daunting, but with these tips and the support from our staff, you can ensure a comfortable and memorable day for everyone involved. Let us help you create a wedding that is as magical and beautiful as your love story, even under the sunniest of skies.
